Business Operations Coordinator
Position Summary
Prometheus Federal Services (PFS) is a trusted partner to federal health agencies. We are seeking a Business Operational Coordinator who is highly organized, proactive, and detail-oriented to support daily business operations and executive priorities. This is integral to ensuring the smooth functioning of the office environment, coordinating logistics, and executing key initiatives. The ideal candidate is resourceful, adaptable, and thrives in a fast-paced, dynamic setting while maintaining a high level of professionalism.
Essential Duties and Responsibilities
- Coordinate day-to-day office operations to ensure an efficient and well-organized workplace
- Manage office supplies, inventory, and restocking to maintain operational readiness
- Support audio/visual setup and preparation for meetings, presentations, and events
- Assist with travel arrangements, including scheduling flights, accommodations, and itineraries
- Coordinate logistics for meetings, events, and internal/external engagements
- Maintain organization of office systems, files, and shared resources
- Serve as a point of contact for vendors, service providers, and facilities-related needs
- Provide direct operational and administrative support to leaders, including ad hoc requests
- Assist in planning and executing company events and special projects
- Identify opportunities to improve processes and increase operational efficiency
Minimum Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field
- Two (2) to five (5) years of experience in operations, office coordination, or administrative support roles
- Strong organizational and time management skills with the ability to multitask effectively
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and attention to detail
- Proficiency in Microsoft Office 365 Suite
- Authorized to work in the U.S. without sponsorship indefinitely.
- Ability to obtain a public trust
