Prometheus Federal Services (PFS), a trusted partner to federal health and social services agencies, is currently seeking an Onboarding Specialist in support of complex federal contracts with the U.S. Department of Veterans Affairs (VA) / Veterans Health Administration (VHA). The Onboarding Specialist will be responsible for supporting the onboarding process for new hires. Applicants must have previous experience facilitating the federal clearance process and onboarding new employees.
Essential Duties and Responsibilities
The Onboarding Specialist should have a demonstrated track record of healthcare onboarding experience. This role will verify, implement, and refine onboarding policies, procedures, and workflows.
- Coordinate with PFS all onboarding activities.
- Own several required onboarding processes such as background investigations, education and license verifications, I-9 form completion and coordinating pre-employment requirements.
- Support the entire onboarding process and use project management and organizational skills to effectively move each candidate through the process; rapid, successful onboarding is imperative.
- Serve as the primary point of provider organization contact for the assigned candidate and identify and escalate needs/issues to appropriate PFS team members.
- Maneuver multiple web-based platforms to meet fast moving deadlines.
- Ensure regulatory/compliance guidelines as well as Veterans Health Administration requirements including VA Directives are met.
- Coordinate required credentials, certifications, state licensures, and other professional requirements related to privileging for onboarding working in close coordination with the Credentialing Manager.
- Ensure accuracy and integrity of the onboarding files, whether in hard copy or electronic form.
- Conduct ongoing reviews and audits of onboarding files and related documentation.
- Other duties as assigned.
Minimum Qualifications
- Bachelors degree or equivalent combination of relevant experience and education.
- 4+ years of experience in high volume scheduling, administrative or similar Human Resources experience.
- Critical thinking, problem-solving, time management, organizational skills, accountability/ownership, and effective communication skills.
- 2+ years of relationship management experience with a proven track record.
- Ability to handle multiple tasks seamlessly without a drop in quality.
- Strong attention to detail and the ability to follow consistently to resolve concerns and ensure satisfaction.
- Ability to retain and sustain focus, professionalism, and enthusiasm for work over an extended period.
- Ability to interact, cooperate and work closely with all levels of internal and external colleagues.
- Ability to adhere to detail, accuracy, and thoroughness.
- Strong interpersonal and customer service skills for effective communication with new hires and transferring associates.
- Ability to effectively multi-task and work under strict deadlines.
- Knowledge of HR and payroll processes helpful.
- Proficient in MS Office applications, including Outlook, Word, SharePoint and Excel.
- Authorized to work in the U.S. without sponsorship indefinitely.
